Cancellation, Reschedule and Break Policies

These policies have been drafted after 15+ years of experience in Online education and providing a great learning experience for all kinds of learners.

Please note that at Catalyze we place the student potential and achievements as well as the tutor time and knowledge sharing above all else.

These processes have been put in place keeping the wellbeing of the student in mind first as we find that deviations from the academic plan due to inconsistent classes and frequent cancellations affect overall student performance.

Most students in Catalyze have an academic plan for portion coverage at signup or continuance into the next Academic year. Undue cancellations affect the following

We request parents to let the assigned student coordinators know by the 15-18th of every month any deviations to scheduled classes for the next month. For example for the month of July 2024, we would like the schedule confirmation by 15-18th June 2024.

This will ensure that we are planned in advance for any changes from the schedule and the tutor slot booking in the application as well as class links can be well managed.

THE TUTOR SLOTS BOOKING IN THE APPLICATION IS VERY CRITICAL AND CAN BE DONE ONLY THROUGH THE ASSIGNED STUDENT CO-ORDINATOR. DIRECT DISCUSSIONS WITH THE TUTOR IS DISCOURAGED AND MAY LEAD TO CHARGEABLE CLASSES IF NOT CORRECTLY MANAGED. ONLY THE STUDENT COORDINATORS MANAGE THE APPLICATION AND NOT THE TUTORS.

1. What if student cancels the class with payment balance available?

Any cancellation needs to be communicated well in advance short of emergencies. We recommend rescheduling at least 12 hours in advance and the cancelled classes must be rescheduled and compensated within 15 days from the date of cancelled class.

Please note that rescheduled classes must be over and above the scheduled class hours for the month. In case additional slots for the student or tutor is not available the same may be compensated by extension of already scheduled hours. These may be informed and discussed with the student coordinator for smooth blocking of tutor slots.

Classes will be charged if the above lead time for information is not followed. Reschedule classes will be chargeable if cancelled.

Reschedules cannot be accommodated as replacement classes for existing scheduled classes for that month or next month.

Class links for Rescheduled classes not utilized withing 15 days will expire and will be deducted from the overall balance.

2. What if a student wants classes with nil balance?

Sufficient balance is required for class links to be generated. 24 hours lead time is needed for the link generation. Parents are requested to ensure sufficient fee balance is maintained in their account and a lead time of 3-5 days are followed for international transfers and credit into the account in case of balance refills. (Please refer FEE policies) Last minute payments will lead to delays in class scheduling if sufficient balance is not maintained.

3. What if the tutor cancels the class?

Tutors usually provide advance notice for cancellation in case of leave or othercircumstances. They also provide alternate time slots for compensation either in advance or post their leave, within 15 days, which the student can avail.

4. What if the student wants uninterrupted classes and his tutor is onleave?

In such special cases a substitute teacher will be provided to ensure that thestudent’s classes are not interrupted.

5. How many reschedules are allowed per month?

Not more than 2 cancellations/reschedules are allowed per month and this needs to be compensated in the next 15 days.

More than 2 cancellations per month will be deducted from the balance. Class links for Rescheduled classes not utilized within 15 days will expire and will be deducted from the overall balance.from the overall balance.

6. What if a student wants Extra hours or plan or schedule change?

All changes in plans and planning of Extra hours must be done by the 15-18th of the previous month for every month to ensure that tutor slots are booked through the application and class links can be generated.

All changes must be made only through the student Coordinator and not through the tutor as tutor does not have access for the application.

Last minute changes will be accommodated only in case of emergencies.

7. What if the student wants to go on a break?

The different types of breaks are term breaks, exam time breaks and breaks due to other reasons such as shifting schools, curricula and countries etc.

If students are intending to take short term break, the same has to be intimated 30 days prior to the break start date in order to retain the tutor slots for the ongoing time and day.

The joining date and the date of restart of class has to be intimated for the tutor slots to be reserved for the student failing which they will be given another tutor on restart of the classes.

The same tutor cannot be reserved for more than 30 days, beyond which a different tutor will be provided.

In case a different time slot is needed after the break for the same teacher, it should be intimated while going on break itself.

Academic calendar should be shared at the beginning of the academic year to manage break time and tutor slots.

If the break times are intimated less than 30 days in advance, we cannot guarantee the same tutor slots.
